We are looking for an experienced HR, FM and Admistrative support officer for our construction department in Casablanca.

 

Key Responsibilities and Tasks

 

HR Support:

 

  • Preparing the HR correspondence: salary letters, bonus letters, etc.…
  • Provision of general administrative support.
  • Follow-up of leaves/holidays
  • Follow-up of Extra hours for blue-workers - Gather data from managers & report to service provider
  • Follow-up of the external employees contracts
  • Follow-up of the training actions: prepare the PO, organize/logistics, update of training files
  • Put together the personnel files of new hires and prepare the hiring form
  • Support in HR projects
  • Follow-up of the health insurance files & reimbursements with the insurance: Coordination with service provider- declarations new hires and changes.
  • Point of contact with the HR external providers (Payroll, Hiring.)
  • Responsible for preparation of purchase orders related.          
  • Drafting and compiling departmental presentations and communications
  • Prepare monthly HR reports.
     

FM Support


1. Infrastructure FM Services:

  • Gardening: Handling maintenance of green areas on site by the contractors
  • Archiving: Arranging for allocation of external archives and archive services whenever needed
  • Janitorial: Arranging for maintenance work, transport services in the building, visual inspections in the building and on site by the contractor
  • Cleaning: Handling regular cleaning, glass and facade cleaning, cleaning on demand by the contractor
  • Pantry: Handling maintenance of pantry appliances/furniture, pantry services and catering required stuffs, cleaning and maintenance of pantry through 3rd. party contractors, arrange for catering of the events on demand
  • Laundry service: Laundry service for working a laboratory clothes (Curtains, Table cloths, etc.) on demand
     

2. FM Support Services:

  • Administration: Handling administration of stationery, printers  
  • Space and office management: Supporting space and work station and all office equipment.
  • Relocation management: Supporting office relocation.
  • Travel/Hotel Management: Supporting business travels in coordination with Travel Agency, handling all business travel invoices, supporting hotel bookings.
  • Fleet Management: Supporting company cars handling, drivers and all transportation services and related 3rd. party contracts. Handling transportation administration such as petrol cards and billings and keep the company cars database updated.
  • Printing services: Handling delivery of external printing services and supporting contract partners.
  • SRM system: Handling purchase orders & processing invoices via SRM system.
  • Event Management: Supporting all requirements for events, workshops, meetings, and important visits.
  • Delegate Management: Supporting accommodation of delegates (Ejari registration/certificate, DEWA connection, etc.)

 

3. Technical FM Services:

  • Energy/ utilities: Handling all payments of municipal fees, DEWA, Etisalat...
  • Supporting maintenance of building structure, technical installations & equipment and building security systems & equipment.

 
 

Administrative support:

 

  • Organizing meetings and conferences, arranging travel, and managing and coordinating schedules
  • Prepar the administrative documentation to be delivered to the authorities
  • Write and distribute email, correspondence memos, letters, faxes and forms
     

Profil:

 

  • Experiences in the field of office, HR and facility management
  • Ability to communicate with people across all levels is essential.
  • Strong organizational skills and the ability to perform well under pressure is required.
  • Capable to keep confidential topics and understands that most HR topics are sensitive
  • Language skills (level): Fluent English, French and Arabic (written and spoken)
  • IT skills :  MS Office (strong in excel & powerpoint) and HR Tools
